Every obligation on the tracker begins with the same question: which AI systems do you use, for what, with whose data? This template answers it in a single sheet.

Columns and why they exist

Column	Why
system_name, vendor, purpose, business_owner, users	Identity and accountability. An inspector asks "who owns this?" first.
role_under_ai_act	provider / deployer / importer / distributor. Substantial modification can make you the provider.
data_types, personal_data	Links the inventory to your GDPR records and to the acceptable-use policy.
customer_facing, generates_content	Triggers Article 50 disclosure and marking duties.
decision_support_area	Employment, credit, education, essential services: Annex III candidates, Korea high-impact, Colorado and California ADMT.
jurisdictions, risk_class, article_50_applies	The classification record. Fill from the readiness scan.
disclosure_in_place, training_completed, vendor_docs_reviewed, contract_reviewed	The evidence columns. Each "No" is an action.
status, last_reviewed, notes	approved / under review / retired, and the date. Review at least every six months.
